Keep the complete reference
Share the manufacturer name and the complete model or part number as recorded. A clear photograph of the identification plate or packaging can help the sourcing team compare the written request with the original information.
Add the equipment context
Identify the equipment or assembly the item belongs to, where that information is available. Include the relevant datasheet, drawing or previous order reference. Treat these documents as supporting information to review, rather than proof that every requirement remains unchanged.
Separate identification from suitability
Identifying an item is a starting point. Its suitability for the intended use still needs to be reviewed against the requirement. If an alternative is proposed, ask for the differences to be stated clearly and referred to the responsible technical team.
Record the agreed reference
Before proceeding, make sure the agreed product identification and any approved differences are reflected in the order documentation. This is also useful when checking the goods and accompanying documents at handover.
